Personal Information Collected
In order to maintain a complete member database and conduct the business operations of Phi Mu Alpha Sinfonia (including but not limited to regular mailings and updates on Fraternity activities, dues solicitations, local and national fund raising efforts, and other such efforts as deemed necessary by Phi Mu Alpha Sinfonia or its affiliates), the Fraternity from time-to-time collects relevant personal information about its members.
During the course of normal business operations, personal information will be collected from the following sources:
- Information Phi Mu Alpha Sinfonia receives from its members when they complete the required forms to be initiated into the Fraternity (e.g., name, address, birthday, email, parental information, phone).
- Information about a member’s transactions with Phi Mu Alpha Sinfonia, its affiliates or others (e.g., donation history, dues history, event history, Fraternity-related purchases, award program details).
- Information a member chooses to share with Phi Mu Alpha Sinfonia via membership survey, directories or registration for online services provided by or related to Phi Mu Alpha Sinfonia.
- Information a member chooses to share with Phi Mu Alpha Sinfonia via a national or local volunteer, staff or agent (e.g., company biographies, articles for publication by Phi Mu Alpha Sinfonia, personal interviews).
- Information collected from the Fraternity’s Web site(s), including www.sinfonia.org and www.sinfoniastore.org.
Sharing of Personal Information
Phi Mu Alpha Sinfonia does not sell, rent or lease personal information about its members to third parties.
Phi Mu Alpha Sinfonia may disclose a member’s personal information to its affiliates, but only if such disclosure does not violate any rule of professional ethics. Phi Mu Alpha Sinfonia’s affiliates may be separate companies, but are directly affiliated with the business of Phi Mu Alpha Sinfonia, such as local chapters, alumni groups, and the Sinfonia Educational Foundation.
Phi Mu Alpha Sinfonia may also share information it collects, as described above, to nonaffiliated companies that perform services on Phi Mu Alpha Sinfonia’s behalf, such as data processing, mailings, telemarketing and member benefit products. Such companies are provided only the personal information needed to deliver the service, and are prohibited from using that information for any other purpose.
Phi Mu Alpha Sinfonia may disclose personal information if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on Phi Mu Alpha Sinfonia or the site; (b) protect and defend the rights or property of Phi Mu Alpha Sinfonia and its Web site; and (c) act in urgent circumstances to protect the personal safety of members, affiliates or users of Phi Mu Alpha Sinfonia, its Web site or the public.
Protecting Our Members’ Personal Information
Keeping Phi Mu Alpha Sinfonia’s members’ information confidential and secure is of the utmost importance. Phi Mu Alpha Sinfonia follows standard industry practices to actively protect the confidentiality, security and integrity of its members’ personal information. Phi Mu Alpha Sinfonia also maintains physical, electronic and procedural safeguards to guard its members’ personal information. In so doing, Phi Mu Alpha Sinfonia restricts access to its members’ personal information to those employees, volunteers and affiliates who need to know that information to provide products or services to its members as mentioned above. Additionally, Phi Mu Alpha Sinfonia employees and volunteers are bound by internal confidentiality policies and are subject to disciplinary action for any policy violations.
Protecting Former Members’ Personal Information
Use of Personal Information
With advance permission, members’ limited personal information is made available from time to time in various electronic and print directories. The information included therein, including but not limited to addresses, phone numbers and email addresses, may not be used for any personal or commercial gain, such as, for instance, for scholarships, philanthropic causes, business ventures or political campaigns.
A Member’s Right to View His Personal Information
Members are allowed to view, update and correct their personal information at any time. Additionally, members may view their donation records and donor file at any time. They may request clarification and documentation of tax-deductible gifts, but changes to these records will only be done in accordance with current applicable law.
